Process

How a financing project is prepared

The collaboration follows a fixed sequence with defined work steps, duties to contribute and approvals. The concrete scope of each phase is agreed in the mandate.

Project start

Before the first phase

Before work begins, the objective, scope, contacts and approval responsibility are set down in writing. The client names the people who approve documents and speak externally. Only then does the substantive work start.

Sequence

Three project phases in detail

The collaboration is organised in three coordinated phases. What is worked on in each phase is set out here in full. The concrete scope is agreed per mandate.

  1. Phase 01

Strategic preparation, project structure and CRM foundation

The work starts with a structured analysis of the existing starting position. We record the relevant foundations of the project, place existing information and documents in order, and create a clear structure for the rest of the mandate. In parallel, the organisational basis for communication and follow-up is built.

    Strategic and organisational preparation

    • Strategic initial assessment and analysis of the existing starting position
    • Definition of the objective of the mandate
    • Analysis of existing company, project and communication structures
    • Review and classification of existing information and documents
    • Identification of significant information and documentation gaps
    • Development of a basic positioning and communication structure
    • Organisational preparation of the next project phases

    CRM and process foundation

    • Design of a project-specific CRM structure
    • Build-up of the core CRM pipeline
    • Structuring of contact and communication processes
    • Definition of suitable status and follow-up logics
    • Traceable documentation of communication status and next steps
    • Organisational preparation of CRM use for the later outreach phase

Result of this phase A defined strategic mandate structure, a structured information basis, and the organisational and technical conditions for the documentation and communication work that follows.

  2. Phase 02

Investor-ready documentation and due diligence preparation

The second phase is the documentation core of the collaboration. It centres on the substantive structure, the investment story, an argumentation that can be followed, and a comprehensible presentation of the project. Information logic, clarity, consistency, argumentation, language quality and presentation effect are reviewed and developed further. The agreed scope includes up to two structured rounds of correction and alignment.

    Strategic documentation work

    • Development and structuring of the investment story
    • Professional preparation of relevant company and project information
    • Development of a consistent storyline
    • Structuring of the central statements for external counterparties
    • Optimisation of the information hierarchy
    • Revision and professionalisation of existing content
    • Alignment of the communication with institutional counterparties and family offices

    Investor-relevant documents

    • Pitch deck
    • Executive summary
    • Presentation and information material
    • Relevant key-figure and information overviews
    • Supporting communication material
    • Structured foundations for investor conversations and further review

    Due diligence preparation

    • Structuring of relevant documents
    • Organisation of existing data and information
    • Identification of significant information gaps
    • Preparation of structured information overviews
    • Preparation for typical questions from external counterparties
    • Organisational preparation of possible review and alignment processes
    • Consistency check of the information and documents used in the mandate

Zumsteg Consulting does not carry out any audit, legal or tax review of the information and documents provided. Responsibility for their accuracy, completeness, currency and lawfulness stays with the client.

Result of this phase A professionally structured documentation and communication basis for external conversations and further review processes. The material produced also forms the substantive basis of the communication phase that follows.

  3. Phase 03

Go-live preparation, network and communication support

After the strategic and documentation work, the project is prepared organisationally for the external communication phase. It centres on structured use of the CRM and communication processes built earlier, project-specific preparation of possible counterparties, and ongoing organisational support of the communication.

    Go-live preparation

    • Review of organisational go-live readiness
    • Alignment of the documents intended for communication
    • Preparation of the communication structure
    • Development and preparation of suitable initial approaches
    • Preparation of structured follow-up processes
    • Definition of the relevant communication sequences
    • Preparation of management for the external outreach phase

    Network and counterparty structuring

    • Sector and company stage
    • Project character and financing structure
    • Investor type and strategic fit
    • Further criteria relevant to the individual project

    Communication and CRM support

    • Support with structured initiation of conversations
    • Organisational support of the initial communication
    • Support with follow-up processes and incoming responses
    • Coordination of relevant information and documents
    • Structured documentation of communication status
    • Assignment and follow-up of next steps
    • A one-time introduction to the CRM and communication processes built

    Management and conversation preparation

    • Preparation for typical institutional questions
    • Preparation for critical follow-up questions
    • Structuring of the central messages for conversations
    • Alignment of the presentation logic
    • Support in presenting complex matters comprehensibly
    • Preparation of relevant follow-up information after conversations

Selection and further communication are project-specific and follow documented approval. No particular number of investor contacts, conversations, capital commitments or financing closings is assured.

Result of this phase A structured communication process, a working CRM and follow-up system, and the organisational foundations for further communication with external counterparties. Investment decisions, contract negotiations and closings take place solely between the client and the respective third parties.

Contribution

What the client contributes

The quality of the preparation depends directly on which information is available in full and on time.

Information and documents

  • Current company information and financial figures
  • Plans and project documents
  • Existing communication and investor materials
  • Naming of the contacts

Decisions and approvals

  • Approval of texts, documents and templates
  • Selection and approval of recipients
  • Commissioning external legal, tax and specialist reviews
  • Conducting negotiations and closings

Approvals and communication

Nothing leaves without documented approval

Every template, every recipient list and every document intended for distribution is approved in writing or electronically before use. Who approves is defined at the start of the mandate; every approval stays documented and traceable.

Completion

Completing the preparation

Once the agreed work is complete, there is a structured information and documentation basis, defined communication and approval processes, and the organisational conditions for further external conversations.

No statements are made about duration or timelines, as no binding standard version is documented for this.
